The Benefits Representative role requires a high level of accuracy, timeliness, customer centricity and proactivity with a predisposition for solving problems and figuring out the best way to do things, with the goal of delivering a best-in-class employee experience.

FUNCTIONS:

 Provide timely frontline support to all employees regarding all employer sponsored benefits. Acts as a liaison between the company and external benefits providers to resolve administrative problems and claim/coverage inquiries. Escalate to benefit broker and manager when necessary.

 Administer various employee benefits programs, such as group health, dental and vision, spending accounts (FSA/HSA), accident and disability, life insurance, 401(k), and wellness program; including assisting with benefits transactions that occur during the lifecycle of employment. Process enrollments, qualifying life events and terminations in a timely manner to ensure no issues with employee access to benefits or COBRA notifications.

 Distribute benefit materials and conduct new hire benefits orientations, explain benefits and self-enrollment system. Ensure newly eligible/newly hire employees have adequate information for making enrollment decisions.

 Distribute separation letter to exiting employees and update systems (ADP, TOT, benefit vendors). Ensure exiting employees have information relating to final pays, applicable payout of accrued PTO, benefit coverage end dates and information on COBRA and retirement plan distribution options.

 Initiate and maintain benefits enrollments and ensure changes are entered timely in payroll system for payroll deductions for hires/terms/QE/leaves.

 Conduct audits of payroll deductions to ensure accuracy between enrollment election, deduction code/amount and effective date.

 Monitor eligibility data feeds to benefit plan vendors and resolve issues as they arise.

 Audit, reconciles and process monthly benefit invoices

 Plans and supports company-wide open enrollment activity including creation of yearly open enrollment sessions, distribution of benefit materials, monitor enrollment status and reporting.

 Serve as a resource for managers and employees with questions about FMLA and other leaves of absence regarding eligibility, return to work, etc.

 Process and administer all leave-of-absence requests and disability paperwork: FMLA, STD, State paid leaves, LTD. Communicates with Employee, Manager, Payroll and applicable benefit vendors.

 Administer Paid Time Off benefit program, maintain Time Off Tracker (TOT) application. Monitor usage on a quarterly basis and update/correct balances as needed.

 Schedules quarterly 401(k) employee informational meetings with retirement plan vendor and financial advisor.

 Coordinates with the 401(k) Investment Committee annual meeting and plan review.

 Administer the 401(k) retirement plans, including compliance testing, Form 5500 filing and annual audit.

 Completes annual reporting including ACA and local required reporting (HIRD, etc.).

 Ensures compliance with required benefit notices through timely distribution of documents: Summary of Benefits, Summary Plan Descriptions and other required employee notices, such as annual Medicare Part D notification and Summary Annual Report (SAR).

 In conjunction with benefit broker, develop benefits communications to enhance understanding of the company's benefits package. Plan on-going communications quarterly.

 Monitor Paid Time Off usage on a quarterly basis

 Report on employee metrics relating to benefit and leaves, including benefit plan participation by plan, LOA and Paid Leave utilization, BetterHelp, EAP, Teledoc, and other ad hoc analysis and reporting.

 Maintains intranet benefits website page and other internal posting (ADP, SharePoint, Roxtra, etc.)

 Compiles topic details and drafts monthly HR newsletter benefit and wellness content in conjunction with the Employee Relation team.

 Maintains the confidentiality of benefit files and any associated medical records. Ensure appropriate labeling of confidential information in accordance with ISO 27001 regulations.

 Stay current with employment benefits trends and regulatory issues through HR publications, participation in projects and surveys, vendor contacts, employer networks and continuing education.

 Participate in global initiatives and reporting requirements.

 Updates and maintains accurate and up-to-date human resource files, records, and documentation in HRIS for US and some international employees.

 Works closely with payroll team members to ensure accurate and consistent data is being transferred accurately to appropriate parties. Ensures clear communications through active participation in weekly HR/payroll meetings.

 Performs periodic audits of HR files and quality checks of HRIS data; ensures data integrity in HR systems and the accuracy of information filed. Ensure appropriate labeling of confidential information in accordance with ISO 27001 regulations.

 Gathers data and prepares monthly and quarterly reports in conjunction with the Employee Relation team.

 Creates ad hoc reporting as requested

 Maintains the confidentiality of HR files and records.

 Participate in internal/external audits

 Assist with the implementation of HR projects and/or initiatives

 Performs other duties as assigned.

 Some travel may be required.

 

KNOWLEDGE, SKILLS, AND ABILITIES:

 Ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.

 Excellent verbal and written communication skills.

 Experience with HR/payroll technology (ADP WorkforceNow preferred)

 Strong organizational skills with the ability to handle multiple projects simultaneously while maintaining attention to detail

 Proficient with Microsoft Office suite, with strong emphasis on Excel.

 Proficient with or the ability to quickly learn human resource information system (HRIS), and similar computer applications.

 Strong customer service orientation with the ability to work effectively in a team environment

 Able to successfully operate within a matrixed structure and work as part of a global team.

EDUCATION:

 High school diploma or equivalent required; college degree preferred.

 Certified Employee Benefit Specialists (CEBS) designation, desirable

 Human Resources Certification (PHR/SHRM-CP) designation, desirable

EXPERIENCE:

 5 years of HR experience, in a corporate environment, desired

 2 – 4 years in related Benefits or other HR administration, knowledge of self-funded benefit plans helpful

 Familiarity with leave and employment law/regulations (FMLA, FLSA, ADA, COBRA, HIPPA etc.).
