Development Executive Coordinator

The Development Executive Coordinator is responsible for providing administrative support to the Chief Advancement Officer as well as to the Individual Giving team. Administrative management for the CAO includes: managing the CAO’s calendar, recording actions in the fundraising database, drafting correspondence, and interfacing with donors and senior leadership. Other duties may include: supporting donor visits, planning small events and meetings, developing agendas and taking minutes, assisting with mailings, and general office management.

 

QUALIFICATIONS:

 

EDUCATION/TRAINING:

 

REQUIRED:

  • Bachelor’s Degree

 

KNOWLEDGE/EXPERIENCE:

 

REQUIRED:

  • Minimum of three (3) years of administrative support to a mid- or senior-level executive
  • Experience managing calendars for executives, with experience managing rooms and multiple meeting attendees’ schedules
  • Demonstrated proficiency in Microsoft Excel, Word, and Outlook, including strong calendar and email management and organization skills, including the use of Rules, Scheduling Assistant, proxy accounts, and multiple inboxes
  • Experience managing expense reimbursements
  • Experience with office management and administrative coordination across teams
  • Strong written and verbal communication skills

 

PREFERRED:

  • Five (5) years of administrative support to a mid- or senior-level executive
  • Prior experience in the field of development
  • Prior experience in a non-profit, educational, or healthcare setting
  • Experience with Raiser’s Edge software
  • Demonstrated proficiency in PowerPoint

 

 

 

ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO:

 

  • Provide executive support for the Chief Advancement Officer, including calendar management, meeting scheduling, expense reimbursement preparation, and materials preparation.
     
  • Provide office management support to the Development team, and coordinate with other administrative support staff in the department around matters of general office support.
     
  • Provide document tracking, editing, and management for the Chief Advancement Officer, including letters, memos, presentations, budgets, reports, and other documents.

 

  • Manage the coordination of all aspects of a professionally run, fast-paced and high-performing Development office including:
    • Administrative support of the major gift team, key volunteers and Board members
    • Serve as a liaison with colleagues in Development, Finance, and the President’s Office in support of fundraising goals and activities

 

  • Schedule and coordinate meetings for Development team and Major Gift team.
     
  • Update CAO actions and activity in donor records, using Raiser’s Edge.

 

  • Perform other related tasks and projects as assigned by the Chief Advancement Officer.
