Private equity firm just opened a new location, in Boston, in May 2022, is seeking a receptionist.

The Receptionist will work within the firm’s administration department and will be a main point of contact for the company. Strong communication skills and experience with Microsoft Office (Outlook, Excel, Word) required. The new hire will ensure that all receptionist and administrative responsibilities are completed accurately and delivered with high quality and in a timely manner. Responsibilities The Receptionist will be responsible for the following:

• Serve visitors by greeting, welcoming, directing and announcing them appropriately
• Answer, screen and forward any incoming phone calls while providing basic information when needed • Receive and sort daily mail/deliveries/couriers. Ensure delivery of select packages to appropriate locations
• Maintain security by following procedures and controlling access (monitor logbook, coordinate access with security)
• Manage conference room calendars and daily security and guest list
 • Order, monitor, and maintain copy room and cafe inventory
 • Point of contact for office lunch count
• Set up and maintain conference rooms pre and post meetings
• Perform other clerical receptionist duties such as filing, photocopying, collating, faxing etc
• Backup administrative coverage as needed which includes calendar management, scheduling appointments/meetings/conference calls, binding materials for meetings and conferences, booking travel arrangements (domestic and international), filing and copying documents, and assisting in special projects as needed.

Qualifications The successful candidate will have an exceptional track record and reputation. Given the significant responsibilities of this position, the top candidate will be a mature, experienced individual.

In addition, the successful candidate should have:
 • College degree preferred
• Working knowledge of Microsoft Office – Word, Outlook, Excel
• Experience with operating a switchboard preferred • Strong verbal and written communication skills • Strong attention to detail
• Ability to prioritize, organize, and manage multiple tasks
 • Highly organized and strong time management skills
