1) Types and proofreads administrative, statistical and/or technical material, correspondence, reports, tables, charts, memos etc. using appropriate format, grammar, punctuation, and spelling. May type confidential or classified material adhering to established procedures for securing the material. 2) Coordinates the preparation of reports and/or presentations including but is not limited to, obtaining information, integrating inputs into reports. 3) Maintains records and logs which may be confidential or classified adhering to established procedures for securing material. May utilize Excel and/or databases to maintain financial and technical data, or statistical material. Generates reports as required. 4) Arranges and coordinates simple and complex internal and off-site meetings, which includes but is not limited to: securing space and/or reserving conference rooms, arranging for audio/visual aids, ordering food and beverages and notifying all attendees. 5) Makes travel arrangements with American Express , completing paperwork and working with the Travel office. Arrangements may include shipping material to a meeting, hotel and meeting room accommodations and meal and transportation arrangements. Collects all documents traveler will need and ensures travel department receives form(s) for reimbursement when required. 6) Maintains appointment calendar for supervisor using judgment and establishing priorities among several tentative engagements, effectively deals with a variety of individuals needing to communicate with supervisor directly. 7) Answers and screens incoming calls, taking clear concise messages and responding when appropriate to questions. 8) Prepares outgoing mail including classified documents adhering to established procedures. Opens, sorts and distributes incoming mail, insuring supervisor is provided with priority material in a timely manner. 9) Provides assistance to Lab visitors, escorting, secretarial support, placing calls, assisting in securing local transportation to/from airport. 10) Maintains confidentiality of information during the course of conducting business with others. 11) May participate in administrative projects or provide administrative assistance to staff conducting technical projects. 12) Support directorate management on other tasks as needed.
