Job Summary:

Our team is looking for an Operations and Administration Temp. This position will be a hybrid position with 2 or 3 days in the office and will provide administrative and office support.

  • Handle telephone inquiries and direct calls to the proper staff member or department
  • Assist Board Relations Specialist with preparation for Council Meetings, Executive Committee Meetings, and Officers Meetings. (e.g., documents, member contact, database updating)
  • Prepare internal newsletter
  • Provide administrative support for the Deputy Directors, manage Outlook calendar, schedule appointments, meetings, and travel.
  • Greet all visitors to the 6th floor reception area, and make sure they are assisted in a prompt and professional manner
  • Council Meetings minute taking (Executive Committee, Officers Meeting, Council Meeting, etc.)
  • Assist Board Relations Specialist with preparation for Council Meetings, Executive Committee Meetings, and Officers Meetings. (e.g., documents, member contact, database updating)
  • Sort all incoming mail and deliver to staff mailboxes; handle incoming package deliveries and outgoing shipments from the office via FEDEX, UPS, or other shipping service; handle mail posting machine including ensuring balance of postage on machine is kept current; post daily outgoing mail and occasionally take large mailings to Post Office.
  • Make deliveries or manage deliveries to other state office buildings and other locations as requested.

4. Strong proficiency with Microsoft Office Professional suite and Google Suite

5. Ability to type 55-60 words per minute.

6. Strong written and verbal communication skills required

8. Strong work ethic and able to manage multiple tasks.

9. Ability to work optimally in a team environment.

10. Proven interpersonal skills and ability to interact with all levels of management, internally and externally.

11. Detail oriented with great accuracy.
