Tax Administrative Assistant

As part of our Tax Administrative Team, you will be expected to provide efficient and accurate support to the partners and staff to help provide the highest level of service to our clients. You must be able to work under pressure, be a quick learner and assume responsibility for timely delivery of work assigned to them. You should be self-motivated and work well independently while also recognizing the need to be a team player. Below is a list of responsibilities we have outlined, as always there will be ad-hoc projects that could come up throughout the year.
 
Essential Functions
Responsibilities will include but not limited to:

  • Provides general administrative support to a department of a group of professionals including:
    • Assemble client deliverables
    • Assist in client billing
    • Assist in client engagement related matters
    • Handle Tax Administration Responsibility
    • Schedule internal and external meetings
    • Manage calendars for partners
    • Expense Reports
    • Time entry
    • Engagement letter requests
    • Anticipate scheduling conflicts and calendar challenges and rectify
    • Attend internal meetings for note taking and action plan development
    • Scanning, filing, and faxing

Requirements:

  • Bachelor’s degree strongly preferred
  • Prior experience supporting executive(s)
  • Works well with little to no supervision
  • Demonstrates initiative, flexibility, teamwork, maturity under pressure, and anticipates and resolves problems
  • Demonstrate experience managing complex projects or coordinating large-scale events
  • Excellent written and verbal communication skills
  • Incredible organizational skills; must be detail-oriented
  • Outstanding ability to prioritize and multitask
  • High level of proficiency in Microsoft Office suite

Administrative Assistant
Client's Title- Tax Administrative Assistant
Direct hire (open to T2P too)
Start asap
Process- phone screen + in-person interview
Industry- Public accounting firm, this is part of their 20 person Needham office
Hours- full-time (9-5:30).  Will earn OT pay and work 50-55 hours per week from about 2/15 to 4/15.
Location- Needham (free parking; right off Route 128)
WFH situation: mostly onsite (ideally 4 days onsite; maybe 3 for a strong candidate)
Background check: yes

Why open: Turnover.  This is a general admin job that supports their Tax business, so there is a focus on tax documents and filing.  They would like someone with professional services experience.

Must haves:
-3+ years of general administrative experience
-MS Office
-Fully vaccinated

Preferred:
-Professional services industry strongly preferred
-Bachelor degree
