Office Assistant (Hospital based)

Under general supervision of the Practice Administrator or designee, perform a variety of office, clerical and other related duties both within and in support of our Physician Group at the assigned hospital site.  Duties include, but are not limited to answering telephones, screening calls, taking and relaying messages, and facilitating group communication daily.  Responsible for updating and verifying patient demographic information and insurance eligibility. Update and maintain logs used to track daily census and Physician activity.


1.  Answer telephone, screen calls, take and relay messages and resolve a variety of questions, inquiries, within scope of own position responsibilities.  Receive, sort, distribute office mail, forms, order supplies etc. as required or directed. Facilitate communication throughout each day through correspondence, paging, message relay, group communication, meeting notifications, etc.  Provides assistance to providers in accessing resources (HR, Risk Management, Leadership, etc.)    

2.  Prepare and distribute daily statistics which include census by location, provider and category of care (inpatient vs. observation) at start of day and projected census at the end of the day with staffing for the next day. Update and maintain logs used to track daily census and physician activity (i.e. visits, admissions).

3.  Coordinate/reconcile census to ensure all patients are seen.  Verify that all encounters have a note and are submitted. 

4.  Enter monthly physician schedule for sites into Smart Web and maintains changes.  Prepare daily MD list needed for patient assignment.  Prepare and distribute daily list to bed-flow and ED – needed for admission rotation. Provide assistance obtaining coverage for scheduling needs. 

5.  Prepare expense report for provider’s reimbursements; prints bi-weekly time sheets and submits to the Practice Administrator for processing.

High school diploma or equivalent plus additional specialized courses or training. One (1) year related work experience preferred. Knowledge of medical terminology is required. Previous medical receptionist and computer experience or background in general office work is preferred. Previous public contact work is desired.
