Job Description:

 

 

This position is at the heart of everything the President of the College is involved in. Keeping the President’s Office organized and running smoothly, completing project-based work, administrative tasks, managing sensitive confidential information, and interfacing with employees and external parties is critical to success. 

 

Responsibilities:

  • Be the central contact between the President’s office and all constituents
  • Schedule and manage all commitments of the President
  • Support the Manager of Planning & Communication and the President by creating presentations and written materials and collaborate closely sharing information transparently
  • Provide materials for the President to review prior to scheduled meetings
  • Review incoming communications and provide any related materials as needed for the President to reply
  • Draft and send communications for the President as needed
  • Responsible for all aspects of presidential travel
  • Supervise, hire, and evaluate work-study students
  • Organize and maintain electronic and hard copy files for the Office of the President
  • Reconcile office expenses and purchasing cards for staff and that of the President
  • Manage and schedule meetings for the President and Chief of Staff
  • Make decisions regarding office procedures, priorities, and protocol
  • Escalate information that is time sensitive and relevant to The President
  • Maintain strict confidentiality with information supporting The President
  • Receive visitors, as well as screen and route telephone calls and emails
  • Work collaboratively with the Liaison to the Board of Trustees, Assistant to the President, and Associate Director of Communications to share information
  • Support Board of Trustee meetings
  • Occasional evening or weekend event work in support of the Office of the President

 

Qualifications and Skills:

  • Bachelor’s degree preferred or equivalent work experience
  • 5+ years’ experience supporting an executive
  • Supervisory experience would be helpful in this role
  • Excellent written, verbal, and interpersonal skills
  • Outstanding organizational skills
  • Attention to detail is crucial
  • Strong project management skills
  • Ability to prioritize and multi-task while meeting deadlines
  • Experience working in a fast-paced setting
  • Proven ability to be professional, discrete, and diplomatic
  • Ability and/or experience working with a diverse population
  • Demonstrated editing and proofreading skills
  • Strong technical skills including:  fluency with Macs and Apple products, database management, Microsoft Office suite, Adobe Pro, Keynote, and Prezi
