Administrative Assistant I

Supervises the daily operation of one or more support services for an organization, including clerical services, office space, equipment and supplies, vendor management and other support services.

Serve as the liaison between administrative personnel and leadership, communicating needs and concerns so they can be handled expeditiously

Coordinate employees for special projects and programs, and then oversee their output

Maintain records and databases
Provides technical and logistical support for all personnel
Makes day-to-day decisions within or for a group/small department

 

Additional Tasks may include but not limited to: typing, filing, taking dictation, data entry, verifying quality of work, and making routine calculations, preparing forms, reports, and sketches, diagrams, operating a variety of office equipment, using a company issued computer to enter and retrieve information to compile various routine reports/orders as well as utilize various computer software programs.

Additional responsibilities for:

  • Performing other miscellaneous office tasks
  • Travel scheduling / coordination and office space coordination
  • Makes calculations in an accurate manner
  • Be familiar with Company policies and procedures

 

Work Schedule

Work may involve multiple shifts and or unusual hours, including weekends to support the work as needed. Some travel required. Fulltime managed seasonally. 

 

  • Working knowledge and use of SAP and Microsoft Office programs – Word, Excel and PowerPoint experience is required;
  • Will provide assistance in presentation development using MS Office tools (Word, PowerPoint, Excel)
  • Ability to perform standard to complex office tasks 
  • Experience tracking, maintaining and reporting on various inventories 
  • Ability to prioritize and handle multiple tasks 
  • Complex integration of conflicting calendar priorities 
  • Excellent verbal and written communication skills
  • Excellent interpersonal and analytical skills
  • Excellent organizational skills
  • Results Oriented  
  • 2+ years’ experience as Administrative Assistant
  • 2+ years’ experience in specialized/functional area/discipline
  • Previous experience in supervisory role
