Administrative Assistant

Job Location: Providence, RI


  • Provide proactive administrative support to the Office Coordinator and provide general office support
  • Provide proactive administrative support for selected members of Senior Management including calendar management, meeting management, expense reporting, travel support
  • Greet visitors, ensure smooth day-to-day office operations and proactively anticipate needs/problem solve 
  • Assist with office management, including maintaining support equipment (printer, conference room technology, etc.)
  • Order and maintain inventory of office supplies
  • Maintain organization and general appearance of facility, kitchen areas and order/manage coffee/snacks
  • Liaise with vendors as needed 
  • Assist with group event planning and onsite event management
  • Assist with special projects as needed


  • 1-3 years of administrative & receptionist experience, preferably in biotech or pharmaceutical setting
  • Associates Degree Required
  • Bachelor’s Degree Preferred


  • Proficiency in Microsoft Office Suite including mastery of Microsoft Outlook
  • Excellent organization skills and attention to detail
  • Excellent time management skills, with the ability to effectively manage and prioritize multiple work streams at once 
  • Ability to work in a fast-paced environment and under pressure as necessary
  • Excellent oral and written communication skills
  • Resourceful problem solving
  • Flexible team player; excited to collaborate and support the team
  • Proactive and self-motivated with a positive outlook
  • Background in small biotech or pharma support
