The Benefits & Leaves Administrator will be responsible for assisting with the administration & coordination of all benefit programs, including medical, dental, vision, life insurance, disability and 401k plans as well as assisting with leave of absence administration. Principal focus of this role is providing a positive, organized benefits and well-being experience for all employees. 

 

Job Responsibilities:

 

  • Provide customer-oriented and responsive service to employees to answer a wide variety of benefits related questions including but not limited to health, dental, life, and the company’s 401k plan. 

  • Research and investigate issues and provide recommendations on solutions, while appropriately escalating more complex or unresolved benefits issues to HR Generalist to ensure resolution. 

  • Conduct benefits orientations and explain the company’s self-enrollment benefit administration system to new hires.

  • Partner with payroll to communicate changes related to benefit deductions and payments. 

  • Input employee address, contribution changes, and termination dates in the company’s 401k plan portal.

  • Document and maintain administrative procedures for assigned benefits processes. 

  • Reconcile the monthly premium invoices with the accounting group for all group insurance policies. Resolve any administrative/billing problems with the carrier representatives.

  • Coordinate with third-party worker’s compensation vendor to produce wage report and demographic information requests. 

  • Prepare and set up meetings designed to help employees obtain information and understand company benefits and other related wellness programs. Ensure distribution of required employee notices and communication tools.

  • Assist the HR Generalist with the leave administration process from the employee’s initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating the leave type, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.

  • Maintains reasonable communication with employees on leave to facilitate smooth and timely return to work, relays communication between employees and their managers during leave within reason.

  • Assist with the return-to-work process for employees returning from leaves.

  • Maintains complete and accurate records of leaves in accordance with specified legal requirements.

  • Monitor benefits inbox and timely response or escalation of incoming email inquiries. 

  • Maintain employee benefit and leave files.

  • Preserve confidentiality of employee medical documentation and files.

  • Other duties as assigned.

 

Education & Experience

  • Bachelor’s degree in human resources or equivalent experience in related field.

  • 2+ years of benefits administration experience

  • Familiarity with pertinent federal and state regulations affecting employee benefit programs, including FMLA, PFMLA, ADA, and STD 

  • Knowledge of MS Office and HRIS systems
