Payroll Specialist III ensures the accurate processing and recording of company’s payroll for the US and Canada, provide timely and accurate financial information, participate in daily data entry Payroll processing. Leads tax and legislative expertise within the HRSS payroll team and ensure compliance in all payroll processes. Supports documentation for all payroll processes and trains HRSS Payroll Specialist staff. Leads tax auditing and fallouts from the state & payroll vendor. Supports periodic filings that are not supported by the outsourced payroll vendor. This role ensures that all processes are executed appropriately and in a timely manner. Under management of the Payroll Manager, this role operates as the subject matter expert and escalation point to resolve issues and continuously looks for improvements in operational processes and legislative compliance, and designs and implements those initiatives.
Responsible for complex areas of payroll processing such as payroll inputs that require manipulation for tax or internal exceptions
Manage internal systems and trackers that impact payroll e.g., employee referrals, PPE reimbursements, severance, etc. and ensure processed timely and accurately.
Process and ensure timeliness of wage attachment letters.
Ensure the overall timeliness and delivery of weekly payroll.
Act as primary for Canadian payroll processing.
Compile and verify payroll data for multi-state bi-weekly time reports.
Auditing & Compliance
Supports the completion payroll audits to ensure compliance and accuracy on a weekly, quarterly, and annual basis as well as wage attachments such as garnishments.
Supports Manager, Payroll to liaison with finance for ledger reconciliations
Audit HR-entered transactional data to ensure accuracy and work with HR to correct as necessary.
Identify and implement quality control measures
Supports new state and local registrations based on new tax filing & providing information to payroll vendor.
Responsible for follow-up to fall-out reports, interfacing with state departments and payroll vendor(s) to avoid and minimize any processing fees.
Supports tax compliance with Federal, State and Local regulations.
Responds to escalated payroll inquiries from field locations
Supports manual payment processing for off-cycle checks, as directed by Manager, Payroll.
As a part of the HR Shared Services Team, supports resolution of payroll issues by phone, email, mail, and walk-up.
Documentation and Training
Owns solution knowledge content that is leveraged by employees, HRSS Tier 1 staff, and HRSS Payroll specialists to ensure accurate and complete answers to frequently asked questions.
Create and maintain payroll documentation to ensure consistent and accurate processing for both US & Canadian payroll.
Work with other members of the HRSS Payroll team to document new incoming processes in a timely manner.
Work with Manager, Payroll as well as HR systems resources to identify and support the testing, training, and implementation of process that will help drive accuracy and data integrity.
Partner with HRIS on testing and building training documentation of new system capabilities related to timekeeping & payroll.
Train HRSS Tier 1 staff as well as HRSS Payroll Specialists I and II on relevant payroll processes to better equip them and to increase Tier 1 resolution.
Identify process improvement initiatives and define standard using Generac CI principles for new processes, and streamlining of existing processes.
Work with site-based HR teams to fill any training gaps on payroll procedures and deadlines to better streamline intake and processing.
-Bachelors Degree or equivalent experience
-5 years of US payroll processing experience including payroll system experience, banking and general ledger reconciliation.
-Multi-state payroll experience required, including leading new tax registrations and managing fall-outs
-2 years of Canadian payroll processing experience.
-Experience with Ceridian Dayforce Payroll
-Experience working in an Accounting role or department.
-Experience working with an HR team or Shared Services structure
-Experience managing multiple legal entities
-Experience with weekly payroll processing
-CPP preferred but not required
