The Benefits Specialist administers Retirement benefit programs as assigned and is responsible for specific tasks related to retirement benefit programs. Responsibilities include, but are not limited to, supporting all major retirement program activities, compliance, communications, events, cost-tracking and financial wellness initiatives.  Interacts with associates regarding benefit inquiries and provides a high level of customer service.  Reports to Director of Benefits and also works in conjunction with the plans' record keeper, actuary, trustee and investment consultants. Other responsibilities include acting as backup to other Benefit Administration staff members, supporting benefits program activities and wellness initiatives and drafting communications.


Principal Accountabilities:


  1. Counsel associates on benefits plans and programs.  Respond to inquiries, interpret policy and act as a liaison with vendors. Resolve escalated associate issues. 


  1. Research and resolve employee questions and/or complaints in a timely manner. 


  1. Utilize knowledge of retirement plan compliance and partner with Benefits, Finance and Legal teams, and external partners on the compliance activities for all supported retirement plans. Analyze and report on retirement plan compliance data. 


  1. Responsible for drafting and coordinating communications to associates regarding legal rights, plan changes, education, retirement and termination procedures, etc.


  1. Ensure retirement plans, policies, administration, and procedures are compliant with state and federal regulations (such as ERISA, IRS tax code, etc.), and oversee preparation of reports and filings as required by government agencies. 


  1. Perform internal audits to ensure accuracy and efficiency of file feeds and data between the HRIS/Payroll system and the external vendors. 


  1. Responsible for the routine annual tasks and projects associated with maintaining a retirement plan such as; compliance testing, external audit, 5500 tax filing, and legally required notices (i.e. Auto-Enroll, QDIA, SAR, AFN, etc.). 


  1. Support retirement related projects such as implementing new plan features (lump sum cash outs) de-risking (annuity purchases) or vendor conversions. 


  1. Process and track retirement plan invoices, following established accounting procedures.  Report as appropriate.  Participate in the review of benefit plan provider enrollment reports and monthly billing statements to ensure their accuracy and follow up to correct any discrepancies.  Provide ongoing reporting to management for tracking expenses against the department’s annual budget. 




  • College degree or equivalent experience and 2-4 Years of experience administering employee benefit programs.

  • Previous experience working with Retirement plans preferred.

  • Strong written and verbal communication skills.

  • Attention to detail and strong follow through.

  • Ability to interpret plan and compliance documents.

  • Strong PC skills, including proficiency in Microsoft Office products.

  • Experience with online enrollment systems and benefit portals a plus.

  • Knowledge of benefit plan compliance requirements and ACA regulations a plus.

  • Strong organizational, problem-solving and analytical skills.

  • Knowledge of ERISA/COBRA/HIPAA and other federal regulations regarding benefit plans.

  • Team player with strong interpersonal skills with ability to work with all levels.

  • Ability to handle multiple projects and meet deadlines; ability to work within changing priorities with a positive attitude.

  • Strong customer service skills: ability to deal tactfully with challenging customers on the phone, email and in person. 

  • Ability to solve moderately complex problems and interpret regulations. 

  • Retirement plan education, certification or designation (like RPA, CEBS, QPA, QKA, ERPA, etc.)  a plus.

  • Experience working with outsourced retirement vendor a plus (like Fidelity, Transamerica, Northern Trust, WillisTowersWatson).

  • Experience with Workday a plus.
