Summary of Duties:  Under the general supervision and direction of the CEO of SPG and COO or designee, perform diversified administrative, coordinating and other duties.

 

Education and/or Experience:  Associates Degree in a related field or equivalent combination of education and experience is required.  Proficiency in the use of word processing and other business software packages is required, e.g., Word, Excel, PowerPoint, Access, Acrobat and Project 2000.  5+ years of related work experience required.

Essential Functions

1.  Screen calls, take and relay messages, make notations, handle and resolve a variety of informational requests, questions and problems within the limits of own position responsibilities. Responsible for the tracking and closure of all messages.  

2.  Attend committee meetings, as appropriate and assigned, ensuring that all meeting materials are on hand for the various individual meetings.  Perform appropriate meeting follow up including action item tracking.  

3.  Maintain appointment calendar for the CEO and COO.  Coordinate meetings, including meeting locations, making necessary arrangements for the Directors and assisting work teams as needed. Serve as liaison to any support for the SPG Administration Dept.

4.  Support and contribute to the Business Center strive for excellence.  Respond to all telephone calls and messages within one day of receipt.  Serve as a “role model” for service excellence including, but not limited to helpfulness, assistance and responsiveness in all situations.  

5.  Open and review all of the incoming mail. Prioritize and address correspondence within limits of own position responsibilities.  Maintain accurate and timely filing of all correspondence.  Ensure that correspondence and communication with contacts of the Administration Dept is handled professionally and with efficiency.

6.  Orient the Administration leadership staff to standard deadlines and practices with regard to department, facility and SPG.

7.  Compile data for various reports for the Department of Medicine and Physician-in Chief.

8.  Submit weekly payroll and assist with payroll processing in other departments as needed.
