Executive Assistant responsibilities include:

  • Provide administrative support to a Life Science Partner
  • Maintain complex calendar, includes scheduling external and internal meetings, heavy domestic travel arrangements and expense reporting (tracking portfolio vs. new investments)
  • Independently follow up and prioritize tasks and open issues
  • Play a key role in liaising with other Executive Assistants (EA) on the internal team and liaison with senior members / assistants of external companies
  • Serve as back-up for other EAs as required and provide phone support / reception coverage as needed
  • Independently work with other EAs to organize Partner offsite meetings, conferences and annual retreat; collaborate with corporate partners, vendors, visitors, customers, and employees
  • Independently work with our portfolio of new start-up biotechnology companies and assist with getting these new entities up and running: examples include assisting with establishing office operations (e.g. email, benefits, website), recruitment / HR, and coordinating Board of Directors and Scientific Advisory Board meetings
  • Maintain corporate files and contact database
  • Independently work closely with CFO and internal legal team to put in place confidentiality and other agreements
  • Ensure proper accounting and reconciliation of expenses for both company and its portfolio companies

Qualifications and Experience:

  • Flexibility and accountability
  • Desire to be a high performer in a very fast-paced environment
  • 8-10 years of experience supporting senior level executive in Biotech / Venture Capital (both a plus), or similar environment
  • Bachelor’s degree preferred
  • Strong organizational skills with demonstrated ability to prioritize and work independently
  • Must be able to interact and communicate effectively with individuals at all levels including executive management
  • Must be able to handle confidential information and issues effectively and without breach of confidentiality for both the company and its start-up companies
  • Demonstrated proficiency on Microsoft office applications (Word, Excel, PowerPoint), Dropbox, Google Drive, Salesforce, Keynote, and Prezi a plus
