Commercial Lease Administrator- Midtown Manhattan


A leading high-end Real Estate firm based in Midtown Manhattan is seeking a top-notch Commercial Lease Administrator to join our team. We are a property management company that manages an extensive real estate portfolio throughout New York City.

Essential Functions

  • Reviews and interprets commercial leases, abstracts, LOIs and emails for key lease terms. Using this data, accurately sets up billing information including terms, base rents, escalations, step-ups and various other charges in MRI
  • Produces lease abstracts
  • Tracks lease critical dates/monitors lease compliance
  • Generates and posts charges in MRI
  • Posts and tracks all payments made
  • Calculates and posts tenant CAM/TAX reconciliations
  • Audits commercial accounts as needed
  • Applies late charges and other fees to accounts where applicable
  • Composes and sends written correspondence, invoices, commencement letters, termination letters, etc. in a timely manner
  • Responds to tenant inquiries, researches and investigates tenant billing issues/problems, assists with arrears collections
  • Helps with commercial budgeting and forecasting
  • Maintains and updates commercial inventory and vacancy reports
  • Keeps tenant contact and emergency contact lists up to date
  • Organizes the company’s electronic and physical records/files


  • Must have strong work ethic, dependability, and be highly accountable and responsible
  • Must be highly organized, able to multi-task, meet deadlines and work under pressure while maintaining a professional attitude
  • Self-motivated and shows initiative without direction
  • Two years in Commercial Lease Administration
  • Associates or Bachelor’s degree preferred
  • Ability to understand and interpret complex commercial lease terminology (base rent, percentage rent, operating expenses, commencement date, rent commencement date, real estate tax, insurance obligations, etc.)
  • Proficient in Microsoft Excel and Word
  • Strong communication skills – written/verbal
  • Able to manage multiple inquiries with time-sensitive deadlines
  • Commercial module MRI proficiency required.  YARDI/AVID/ClickPay a plus
