Job Summary/Description:

Immediate Phase: There are probably 160 -200 hours of work in this phase per language which we would like completed between approx. June 1 (sooner can be possible depending on language) and approximately July 15. Final schedule is TBD
Later Phase: Occasional hours.

This is a unique role to assist the division of Quality and Patient Experience (QPE), a part of the corporate team. There are two teams at QPE that develop and build questionnaires for patient completion in the Epic electronic medical record system. The Patient Reported Outcome Measures (PROMs Team) builds clinical questionnaires for specialty providers to use in treating their patients (questionnaires that measure symptoms, for example) and the Digital Health team that builds all other questionnaires (like a pre-visit form) as well as develops certain content and documents that patients can view on the system’s online patient portal, called Patient Gateway.

There is a major systemwide initiative underway called United Against Racism, which is addressing racial/ethnic disparities in healthcare delivery to patients. One part of that initiative is translating hundreds of questionnaires into each of six languages (Spanish, Portuguese, Haitian Creole, Russian, Arabic and Traditional Chinese) as well as translating all of the patient portal’s content to these same languages.

Both teams are now completing the process of securing translations for their questionnaires and portal content and are now uploading each translation into the Epic system. Even though translations have been completed, there is a need for the content to be checked, for quality assurance purposes, after it has been saved on the system, to make sure that no error took place that made wording appear poorly on our system, something to be left out or some part is still appearing in English. These issues could happen because of human error during the upload or because a technical issue caused something to go wrong.

So, these two groups at the QPE division are looking for fully-fluent persons in each of these languages, with outstanding writing/grammar skills and excellent attention to detail, to compare the screenshots that they have been sent of content in the medical record system to the original translation to make sure no changes occurred while the questionnaire was added to the system. After each questionnaire is reviewed the questionnaire will be marked as approved, or, any errors will be documented, and the report will be sent back to the organization.

The work is in two phases, a larger immediate phase and an occasional, lower-level ongoing phase:
• Immediate: This phase will see all questionnaires from both groups, as well as certain patient portal content quality assurance reviewed over an estimated 6-8 week project period likely requiring 160-200 hours of work.
• Ongoing: The programs will need ongoing bilingual quality assurance reviews whenever new questionnaires are developed. It is anticipated that this will generate occasional, low-hours needs on an ongoing basis.
