Job Summary/Description:

The Serious Illness Care Program was created to address these challenges. At the center of the program is the Serious Illness Conversation Guide which offers clinicians language to ask patients about their goals, values, and wishes. The guide is one element of a multi-component program creating system-level support for clinicians to have these important conversations with their patients. The program’s goal is for every patient with a serious illness to feel known and cared for on their own terms, which focuses on more, better, and earlier conversations with their clinicians about their goals, values, and priorities that will inform their future care. The Serious Illness team believes strongly in the values of teamwork, respect, ongoing learning and engagement to support work towards this vision. 

The Senior Project Coordinator will support a wide variety of tasks and projects across the Serious Illness portfolio, including implementation of the program with health systems and ongoing research. This individual will report to the Associate Director of Project Management, SICP and will support investigators and project managers to ensure that all work is done on time, on budget, with excellence. They will take initiative to coordinate the teams on which they serve, as well as responsibility for operational processes and procedures to execute this coordination. The Senior Project Coordinator will receive mentorship from the Associate Director of Project Management to build project management skills that will be applied to select projects as appropriate. They will work with the Associate Director of Project Management  to coordinate and maximize performance of the Serious Illness team and will have task supervision to the project managers or investigators with which they work.

Primary Duties and Responsibilities

  • Project & Research Support
    • Perform administrative and operational duties under minimal supervision at a high proficiency level, including communication among and between project team members and health system partners
    • Implement and organize ongoing knowledge and documentation management of project activities to assure compliance with grants
    • Maintain scheduling of internal project team meetings and health system partner meetings, including documentation and contact information
    • In coordination with the Project Manager, develop and monitor project work plans, timelines, and reports to funders; track project deliverables and impact metrics
    • Plan and manage all logistical aspects of project-related meetings, including convenings (may include some travel related tasks in the future) 
    • Create, format, and maintain slides, documents, tracking systems, and other materials developed by the project team
    • Maintain effective and collaborative working relationships with internal and external constituents
    • Process and track financial tasks including processing expenses and reimbursements, travel booking, and memberships for business-related activities; May have explicit responsibility for certain costs within a budget, including travel
    • Conduct targeted literature searches as needed
    • Support research teams in qualitative and quantitative research, including logistic support to focus groups, surveys and other data collection

 

  • SICP Program Support
    • In collaboration with the Associate Director of Project Management develop and implement complex systems and procedures in operations, including knowledge management and impact metrics
    • Participate in onboarding and training of new team members in program and project policies and procedures
    • Support program team including scheduling and support for meetings, presentations, and special events, managing correspondences, preparing agendas, preparing visual aids or materials, and taking minutes;
    • Partner with the Events & Development Coordinator to plan internal and external events
    • Support the team in business development and grant applications, including logistics, documentation, organization of content and tracking of prospects

 

Required Skills

  • Experience working in and proficiency with Google Suite, including Sheets and Slides
  • Ability to set-up video and audio conference calls and virtual meetings (Zoom, Webex, Microsoft Teams)
  • Proficiency with other software such as Microsoft office and databases, such as Qualtrics and RedCap preferred
  • Written and verbal communication skills
  • Strong organizational skills
  • Positive, proactive, flexible, professional, and a can-do attitude
  • Ability to work independently and utilize strong interpersonal skills to problem-solve complex issues
  • Ability to develop timelines and meet competing deadlines on time and with high caliber deliverables
  • Ability to handle complex and confidential information with discretion
  • Ability to learn project content quickly

 

Qualifications

  • BA/BS required
  • 5 years of relevant experience (education may count towards experience)
  • Experience working in a matrix organization/environment preferred
  • Some travel may be required

 

Preferred Qualifications

  • Proven office administration and customer service skills strongly preferred
  • Ability to learn project content quickly
