Job Title: Events Coordinator

Interview Process: Virtual 

Hours (any flex on start/end times / any remote work?): 35-40

Job Location: Starts out remote but may need to go on campus every once in a while

Dress: Business Casual

Industry: Higher Ed

Why Open: Cover a leave along with Volume of work due to upcoming Events

Must Haves: 

  • Events experience
  • MS Office (Powerpoint)

 

Job Summary:

Event (April-May):

–          Building and testing platform (cannot gain access until 1 month before conference)

–          Creating scripts, powerpoint (we are already starting to make generic updates to these, but more concrete updates need to be made in the final 2-3 weeks)

–          Test runs with sponsors, attendees, and speakers

–          Finalize and launch conference app

–          Attendee and sponsor communications (final registration details, conference day logistical reminders, etc)

 

Event, May 14, 24 & 25

–          Prep sessions with faculty 1-2 weeks prior to each program

–          Update program materials as needed.

–          Communicate with participants and share materials

–          Finalize certificates and email individually post-program

 

Events, May 26, July 20, October 5

–          Panel run through 1-2 weeks prior to program date

–          Final ppt and program overview (begin one month prior to program)

–          Registration and communications (reminders, sharing reports, etc, starting 4-6 weeks pre-program)

 

Event, TBD May/June Date

–          Trish moderating panel, support with data and materials prep

–          Liaison to MACFW

–          Scripts and logistics, ppts if needed

 
Event, TBD October start date

–          Partner with Yaro and Lisa on program curriculum

–          Manage participant communications

–          Materials prep

–          SOWs for faculty/facilitators, if needed

 

Event, December

–          Contracts process begins in May/June to negotiate participation

–          Begin ticket allocation process over the summer

–          Fall – invitations to participate to corporate partners

–          Build tradeshow “booth” and coordinate virtual booth logistics

–          Manage any speaker details and sponsor activations (newsletter opportunities, social media engagements, etc)

–          Manage communications with participants and serve as liaison to conference organizers

 

Gearing Up 2022 (goal would be to have much of this in place before I leave, but I recognize many conversations might need to happen after I go, and pre-planning will depend on resources to support other May programs)

–          Book Keynote speaker (have begun research process)

–          Plan for virtual or in person program
